The Process
We've migrated hundreds of gyms. Here's exactly what happens from the moment you say yes to the moment you go live.
A 20-minute chat with our onboarding team. Tell us which platform you're leaving, roughly how many members you have, and your target go-live date. We'll map out your data and set expectations.
You: 20 minWe send you a simple platform-specific checklist. Every major gym platform lets you export member data, billing info, and class history. Most exports take under 30 minutes and require zero technical skills. We walk you through it step by step if needed.
You: ~30 minOur team imports your members, active memberships, billing schedules, class timetables, and attendance history. We configure your settings, payment processor, and branding. You receive a review link to check everything before anything goes live.
Us: 2–3 daysA live video walkthrough with your team. We cover the member dashboard, class scheduling, billing management, and the AI tools. Most staff are confident after 45 minutes. Recordings are yours to keep for future staff onboarding.
Together: 1 hourWe activate Pulse and send your members a simple email with their new login link (password reset only — their profile is already there). Your old platform stays in read-only mode until you're ready to cancel it. We stay on standby for 48 hours post-launch.
Us: Day 5Platform Guides
Select the platform you're currently on. We'll show you exactly what moves across and what to watch out for.
Mindbody is the most common platform gym owners migrate away from — usually because of rising prices, per-member fees, and support that can be slow to respond. The good news: Mindbody's export tools are comprehensive, which makes migration straightforward.
Mindbody starts at $139/month but quickly climbs with add-ons and per-member fees. Many mid-sized gyms pay $400–$600/month before extras.
Annual contracts with penalty clauses. Gyms often pay for months they don't use because exit timing is complicated.
Mindbody has no equipment management. Gym owners juggle spreadsheets or third-party tools for maintenance and warranty tracking.
Stored payment methods are re-tokenised via our payment processor — members are not asked to re-enter card details.
ABC Glofox is popular with boutique studios and CrossFit boxes. It's clean and easy to use, but gym owners often outgrow it — particularly around reporting depth, AI automation, and equipment management. Pricing becomes painful as member counts grow.
Glofox reporting is basic. Owners wanting LTV, churn forecasting, or channel attribution have to pull data into spreadsheets manually.
No churn prediction, no automated retention sequences, no revenue forecasting. Growing gyms need more than dashboards.
Glofox pricing scales with members — what starts affordable becomes a significant cost driver as the gym grows past 300 members.
VERVE Pulse uses flat monthly pricing — no per-member fees. All 75+ features included on every plan.
Zen Planner is a solid workhorse built for martial arts and functional fitness. Long-time users love the workout logging and belt/rank tracking. But the interface feels dated and the platform hasn't kept pace with AI, marketing automation, or modern mobile expectations.
Zen Planner's UI hasn't kept pace with modern software. Staff training takes longer and new members find the member app clunky compared to competitors.
Basic email tools only. No churn alerts, no win-back sequences, no AI content generation. Owners do this manually or bolt on third-party tools.
Connecting Zen Planner to modern marketing stacks — Meta Ads, Google Analytics, Klaviyo — requires workarounds and often breaks.
Zen Planner belt and rank records are migrated to custom profile fields in VERVE Pulse.
PushPress is well-regarded in the CrossFit and functional fitness community — clean UI, strong billing tools, and a good free tier. Owners typically move on when they need deeper AI features, equipment tracking, or richer marketing automation beyond what PushPress offers.
The free plan is restrictive. Once you need automation, reporting, or marketing tools, you're paying — and the paid tiers add up quickly.
PushPress has no built-in equipment tracking. Maintenance schedules, warranty management, and replacement planning all live outside the platform.
PushPress automation is class-focused. Retention campaigns, lead nurturing, and AI-driven churn prediction require integrations that add cost and complexity.
PushPress WOD logs and performance PRs are migrated to VERVE Pulse member activity records.
WellnessLiving is a feature-rich all-in-one platform that covers a wide range of wellness businesses. Gym owners often find it over-built for their needs — paying for features they don't use while still lacking AI-powered gym-specific tools like churn prediction and equipment tracking.
WellnessLiving is built for spas, salons, yoga, and gyms. The result: a complex interface with settings gym owners never need — and a learning curve that costs staff time.
Response times can be slow, particularly for complex billing or migration issues. Gym owners running lean teams can't afford to wait days for support on operational problems.
WellnessLiving has no churn prediction, no equipment AI, no revenue forecasting built for gyms. It's automation built for the wellness industry broadly — not the gym floor specifically.
WellnessLiving loyalty points are converted to VERVE Pulse credit balances or member reward records.
Fitbox is a lightweight, accessible entry-point for smaller gyms and personal trainers. It does the basics well — booking, payments, scheduling. Owners migrate to VERVE Pulse when they need deeper business intelligence, AI-powered automation, or equipment management as their operation grows.
Fitbox is great for solo operators. As gyms grow to 100+ members, the lack of automation, retention tools, and advanced reporting becomes a real operational constraint.
Fitbox lacks built-in email marketing, churn alerting, or AI-driven member engagement. Owners manually track at-risk members and write campaigns from scratch.
Revenue summaries only. No cohort analysis, no LTV tracking, no channel-level attribution. Growing gym owners are flying blind on key metrics.
Fitbox to Pulse migrations are among our fastest — typically 3–4 business days. Fitbox historical invoices are provided as PDF exports for your records.

FAQ
Yes, completely. Full data migration is included on every VERVE Pulse plan. There are no setup fees, no migration fees, and no surprise charges. Our onboarding team handles the import from start to finish.
Almost nothing. Member profiles, memberships, and billing all transfer automatically. The only action members take is clicking a password-reset link in a welcome email — their account is already set up and waiting for them.
Stored card details are tokenised by your payment processor, not stored in plain text anywhere. When we migrate, payment tokens move to Pulse's payment infrastructure. Members with active recurring billing are not asked to re-enter their card details — billing continues uninterrupted.
Most migrations complete in 5 business days. Smaller gyms (under 150 members) are often done in 3 days. Larger, more complex setups (multiple locations, 500+ members, complex billing tiers) may take 7–10 days. We'll give you an exact estimate on your migration call.
Yes. We recommend running both platforms in parallel for at least 2 weeks after go-live. Your old platform stays in read-only mode — you can reference historical data without it affecting your live operations. Cancel only when you're fully confident.
You can migrate to VERVE Pulse at any time — even if you're mid-contract elsewhere. We can help you understand your exit clause and time the switch to minimise double-billing. VERVE Pulse has no lock-in contracts, so you can start immediately with no financial risk on our end.
Yes. Multi-location migrations are supported. We map each location's data separately and configure your Pulse account with the right location structure before import. Complex multi-site setups typically take 7–10 business days.
We stay on standby for 48 hours after every go-live. If any data is missing or incorrectly imported, we fix it immediately — at no cost. Your old platform is still accessible in read-only mode as a reference during that window.
