Gym Management Software With No Lock-In Contracts: Month to Month

By VERVE Pulse Team | Updated 8 August 2026

VERVE Pulse has no lock-in contracts. Every plan is month to month. You can cancel from Settings whenever you like, without calling anyone, and your data exports free on every plan. Plans are $199/month +GST, $349/month +GST and $549/month +GST. Annual billing exists, but it is a discount you can choose, never a condition of entry.

That first paragraph is the whole policy. The rest of this article explains why we run it this way, and what the contract terms of the major gym management platforms actually say, checked against their own published agreements on 8 August 2026.

Why gym owners hate lock-in contracts more than anyone

Gym owners sell memberships for a living. You know exactly what a lock-in contract is for, because you have sat on the selling side of one: it guarantees revenue whether or not the product keeps earning it. Nobody knows the difference between a member who stays by choice and a member who stays by contract better than you.

Software vendors are no different. An annual lock-in serves the vendor, not the gym. Once your signature is on a fixed-term agreement, the vendor's incentive to keep improving the product, answering support quickly and earning your business drops away. The invoices arrive either way.

Which gym management platforms have lock-in contracts?

Several of the biggest platforms carry minimum terms, auto-renewal windows or early exit fees in their own published agreements: Mindbody, PerfectGym, Xplor Clubware and Xplor Gym, ABC Glofox, Hapana, and Zen Planner when a fixed term is chosen. Clubworx, GymMaster, Wodify and Gymdesk bill month to month with no lock-in, as does VERVE Pulse.

Here is what each vendor's own documents say. Every row comes from the vendor's published terms of service, master subscription agreement or pricing page, checked on 8 August 2026. Terms change, so read the current version before you sign anything.

PlatformStandard term, per their own documentsNotice to leaveEarly exit cost
Mindbody90-day initial term, then rolling 30-day renewals (their terms of service, checked 8 August 2026)30 days before the end of the current termFees for the full subscription term remain payable if you leave early
PerfectGym3-year initial term unless agreed otherwise, then 1-year renewals (their terms of service, checked 8 August 2026)90 days before the renewal dateNot published
Xplor Clubware and Xplor GymInitial term set in your order form, then automatic 12-month renewals (their Australian master SaaS terms, checked 8 August 2026)60 days written noticeAverage monthly fee multiplied by the months remaining in the initial term
ABC GlofoxTerm set in your order form; the agreement cannot be ended for convenience during the initial term (ABC master subscription agreement, checked 8 August 2026)30 days written noticeFees are non-refundable, and any contract buyout ABC funded for you can be charged back
HapanaMinimum term set in your order form (their terms and conditions, checked 8 August 2026)30 days written noticeEarly termination fees apply before the minimum term ends
Zen Planner and Exercise.com (Daxko)Month to month by default, with fixed terms available in the order form (Daxko master subscription agreement, checked 8 August 2026)30 days notice100% of the remaining fees if a fixed term was chosen
ClubworxMonth to month by default (their pricing page, checked 8 August 2026)Cancel from your account before renewalNone found
GymMasterNo minimum term (their pricing page, checked 8 August 2026)30 days written noticeNone found
WodifyMonth to month on every tier (their pricing page, checked 8 August 2026)Cancel any timeNone found
GymdeskMonth to month on every plan (their pricing page, checked 8 August 2026)Cancel any timeNone found
VERVE PulseMonth to month, no minimum termNone. Cancel from Settings, effective at the end of the paid periodNone. Full data export is free on every plan

Notice the pattern in the top half of the table. With several of the biggest platforms you cannot see the term you are agreeing to before the sales call, because the term is set in a private order form, not published on the pricing page. Their own agreements say so. You are asked to commit before you can compare.

And in fairness to the industry: no lock-in is not unique to us. Clubworx, GymMaster, Wodify and Gymdesk publish month-to-month terms too, and they deserve credit for it. The dividing line in that table is not us against everyone. It is platforms that back their product to keep earning your business against platforms that need paperwork to keep it.

Why VERVE Pulse does not need a lock-in

We keep the exit door open on purpose. If VERVE Pulse stops solving your problems, you should leave, and nothing in our paperwork should slow you down. The onus is on us, every single month, to keep the product so useful to you and your members that moving would feel like a step backwards.

That pressure is the point. A vendor holding a lock-in can absorb a bad quarter, a slow roadmap and a long support queue, because the revenue keeps arriving regardless. We cannot. Every gym on VERVE Pulse re-decides, every month, whether we deserve the next one. It is the same standard your members hold you to.

We also do not play the softer hostage games:

  • Your data is yours. Every plan includes a free Export Data screen in Settings covering members, membership plans, invoices, classes, bookings, check-ins, workout logs, leads, staff, conversations, messages, equipment and waivers, as CSV or JSON, plus a whole-gym bundle.
  • Getting in is easy, and so is getting out. We ship import presets for Mindbody, Glofox, Zen Planner, PushPress, Hapana and CSV on the way in, and the same open formats on the way out.
  • An open API on Pro. Your gym's information is never trapped inside our walls. See the full features directory.

VERVE Pulse is built by VERVE Fitness, the Gold Coast company behind more than 16,000 commercial gym fit-outs across Australia. The gyms pictured through this article are real VERVE Fitness fit-outs. We have sat across the table from gym owners for years, and the software side runs on the same rule the equipment side lives by: the product has to be good enough that you come back on your own.

Is the annual plan a lock-in?

No. Annual billing on VERVE Pulse gets you 2 months free, and it is never required: month to month is the default. A lock-in is a commitment the vendor forces on you before the product has proven anything. An annual discount is a choice you make after it has.

The reason for the discount is not mysterious. Annual billing means less payment admin on our side and revenue we can plan the roadmap and hiring around, so we hand that saving back as 2 months free. The terms are just as plain: an annual plan runs to the end of the year you have paid for, and you can cancel from Settings at any time, effective when that year ends, with no notice window and no exit fee. You are buying 12 months at a discount, so treat it that way: most gyms should start month to month and move to annual only once we have earned it. Annual plans also include the white-glove migration concierge, where we move your members, plans, billing schedules and history for you. Both options are on the pricing page.

How do you cancel VERVE Pulse?

The account owner opens Settings and cancels. No phone call, no retention team, no notice period. The cancellation takes effect at the end of the period you have already paid for, and you can reverse it any time before then. Export your data first from the same Settings area, free on every plan.

We publish this because how a vendor behaves when you try to leave tells you everything about how they will behave while you stay. If you are comparing platforms, ask every vendor the same question: show me, on your website, how I cancel. The ones with lock-ins cannot answer it.

If you are weighing up a switch, start with the switching guide or the gym software buyers guide, then try VERVE Pulse free for 30 days on any plan. Month to month, from $199/month +GST. If we are not earning your business, leaving takes two clicks. That is the deal.
